Sport & Fitness

Gyms, yoga studios, CrossFit boxes, and personal trainers handle two scheduling challenges at once: group classes with capacity limits plus individual PT sessions with specific trainer requests. You manage 5 trainers across 2 locations, with different expertise, conflicting availability, and seasonal offerings. Opencals handles this complexity without doubling your admin work.

Trainer and Instructor Schedules

Each trainer gets their own weekly schedule. A lead instructor teaches Monday/Wednesday/Friday mornings. A part-time PT only works Tuesday/Thursday evenings. The system doesn't double-book anyone.

  • Individual weekly schedules β€” set different hours for each trainer, instructor, or coach
  • Days off management β€” block vacations, holidays, or sick leave instantly
  • Customer-facing trainer selection β€” clients pick their preferred trainer when booking

Google Calendar sync

Connect each trainer's Google Calendar. Their existing events automatically block availability β€” no double-bookings, no manual updates needed.

Physical, Online, and Home Service Locations

You might run classes from a main studio, a secondary location, offer virtual sessions via Zoom, or send trainers to client homes. Opencals supports three location types: physical (your studio address), online (video calls with auto-generated meeting links), or home service (trainer travels to client).

Each location has its own hours. A customer selects the location first, then sees trainers and class times available at that location only.

  • Physical locations β€” gyms, studios, CrossFit boxes with specific addresses
  • Online services β€” Zoom or Google Meet classes, automatic meeting links per booking
  • Home/personal training β€” trainer travels to client, no fixed location

Multiple Locations

Manage physical, online (Zoom/Meet), and home service locations with separate hours.

Weekly Class Schedules (Beta)

Recurring sessions let you create a standing weekly schedule. A yoga studio runs the same classes every week: "Hot Yoga" at 6pm Mondays/Thursdays, "Restorative" at 9am Saturdays. Clients book individual sessions or commit to a package.

  • Weekly recurrence rules β€” set classes that repeat every week, excluding specific dates
  • Session packages β€” prepaid bundles of class credits
  • Conflict-free scheduling β€” the system prevents double-booking the same room or trainer

Group Class Capacity Management

A spin studio holds 20 riders per class. A CrossFit box runs 12-person group sessions. You set the max capacity, and Opencals enforces it. When slots fill, customers can't book β€” or they join a waitlist.

  • Set max attendees per class β€” define capacity per session or service
  • Revenue scales with space β€” more people per hour = more revenue per location
  • Class types mix freely β€” group yoga, group PT (if one trainer leads 4 people), individual PT, all on the same schedule

Slot Intervals and Buffer Times

A pilates studio books 45-minute classes every 15 minutes (overlapping with different instructors). A personal trainer needs 15 minutes between back-to-back PT sessions for notes and water. You control it all.

  • Slot intervals β€” offer 10, 15, 20, 30, or 60-minute time blocks
  • Buffer times β€” automatic gap between appointments for cleanup or prep
  • Non-recurring schedules β€” seasonal offerings like "summer outdoor boot camps" (June–August only)
