Confirmation at Booking

The moment a customer completes a booking, they receive a confirmation email. No delays, no manual follow-up.

The confirmation includes:

  • Service name, date, and time
  • Staff member assigned (if applicable)
  • Location address or virtual meeting link (Zoom / Google Meet)
  • Cancellation and rescheduling instructions
  • Your store logo, colors, and contact details

Every email uses your branding. Customers see your business name, not Opencals.

Appointment Reminders

Configure reminder timing per store — 24 hours before, 2 hours before, or both. Each reminder includes the full booking details and a direct link to cancel or reschedule within your policy window.

Customers who can't make it are prompted to act in time, freeing the slot for someone else.

SMS Reminders (Beta)

Beta feature

SMS appointment reminders are currently in beta. Contact us to enable SMS for your store.

SMS reminders are available for markets where text messages have higher open rates than email. Customers opt in to SMS during booking. Email remains the primary channel for all other notifications.

Follow-Up Emails

After the appointment, send an automated follow-up to thank the customer and prompt for feedback. Configure the delay per service — 1 hour after, 24 hours after, or any interval you choose.

Post-appointment emails can include a link to your feedback form or a direct rebook link.

Custom Email Templates

All notification emails use Handlebars templates. You can customize the subject line, body content, and layout for each email type:

  • Appointment confirmation
  • Appointment reminder
  • Appointment rescheduled
  • Appointment canceled
  • Post-appointment follow-up

Variables like {{customer.name}}, {{appointment.date}}, and {{location.meeting_link}} pull live data into each email. Conditional blocks let you show a meeting link for online appointments and an address for physical ones.

Staff Notifications

Staff members receive an email for every new booking, cancellation, and rescheduled appointment at their assigned services. If a staff member has Google Calendar connected, the booking also appears as a calendar event automatically.
